A cross-border payment instruction should capture who is paying, who is receiving, the exact amount and currency, the chosen payment rail, the purpose, and the approver trail. The approval checklist should confirm each of those fields against supporting documents before release, then log the decision for reconciliation and audit.
This checklist is a template for finance teams. It does not describe any specific bank's forms or DogPay's internal controls. Field names, mandatory data and approval rules must be confirmed with the financial institution that holds the account and with any service provider involved.
Section 1: Instruction Header and Parties
Copy these fields into your payment request form: Payment reference ID (internal, unique) Request date and requested value date Requesting entity legal name and registered address Requesting account identifier (masked in shared documents) Initiator name, role and contact Beneficiary legal name exactly as held on their account Beneficiary address and country Beneficiary account number or IBAN as applicable Beneficiary bank name, address and identifier (such as SWIFT/BIC where used) Intermediary bank details, if the beneficiary requires them Purpose of payment and invoice or contract reference
Section 2: Amount, Currency and Rail Payment amount in figures and words Payment currency and settlement currency Whether the beneficiary receives the currency sent or a converted currency Charge option requested (for example, shared or beneficiary-borne), where the rail supports it Selected rail: ACH, SWIFT or Fedwire for USD, only where the relevant account and service arrangement support them Cut-off and value date expectations, to be confirmed with the institution Total expected debit, including any charges disclosed by the institution
Section 3: Approval Gates
Each gate should have a named owner and a recorded outcome:
1. Data completeness check: all Section 1 fields present and legible. 2. Beneficiary verification: name and account details match the vendor master record or a verified change request. 3. Commercial substantiation: invoice, contract or purchase order attached and matched to amount and currency. 4. Sanctions and compliance screening: completed according to the institution's and your firm's requirements. 5. Rail and currency confirmation: the chosen route is available for this account and jurisdiction. 6. Dual approval: a second authorised approver signs off within delegated limits. 7. Release confirmation: payment submitted and acknowledgement captured.
Section 4: Records and Reconciliation Store the approved instruction, supporting documents and approval timestamps together. Record the institution's acknowledgement or reference number. Match the eventual debit to the instruction and to the ledger entry. Flag any difference in amount, currency, date or beneficiary for investigation. Retain records according to your firm's policy and any institution requirements.
Section 5: Where DogPay Fits
DogPay is a digital finance and payment infrastructure platform, not the financial institution that provides a business account. Businesses may apply online for a US-dollar business account and Hong Kong or Singapore multi-currency business account options. The relevant financial institution provides and independently approves each account, and its opening documents determine account type, holder and terms.
After approval, available account features may include international collections, cross-border payments, currency management, transaction records, reconciliation and reporting. Actual currencies, payment rails and functions depend on the institution, account, product and jurisdiction. USD and supported stablecoin conversion or settlement and crypto payment gateway services are provided by DogPay affiliates to eligible customers, subject to provider terms, applicable law and geographical availability.
Section 6: Common Gaps to Close Beneficiary name mismatches between invoice and bank record. Missing purpose codes or contract references. Approvals collected after submission rather than before. No record of which rail was used or why. Reconciliation entries that do not link back to the instruction ID.
FAQ
What is the single most important field? The beneficiary name and account details, because mismatches are a leading cause of returned or delayed payments.
Should the checklist differ by rail? Yes. ACH, SWIFT and Fedwire carry different data requirements, so confirm field rules with the institution for each route.
Who should approve? Approvers and limits are set by your firm's policy and by the institution's requirements; this checklist does not prescribe them.
Does DogPay guarantee payment acceptance or speed? No. No account approval, payment acceptance, fee, exchange rate, speed, coverage or business outcome is guaranteed.
